Job Description

This position is newly open. The Administrative Manager is directly responsible for the overall administration, coordination, evaluation, and maintenance of employee activities including department onboarding of employees, temporary agency employees, and independent consultants. The Administrative Manager will have the responsibility to work across the ESS Business Unit to ensure the LLCs are aligned with S&K policies, practices, and state/federal law. The Administrative Manager will be responsible to support managers in attracting, recruiting, and on boarding quality candidates and temporary staff needed within the ESS Business Unit. This role will assist in writing job descriptions and reviewing and documenting safety training, etc. and ensure documentation is maintained and appropriately and timely submitted. This role will benefit with a background in human resources but it not part of the Corporate HR team. Support is provided to the business to allow a seamless and smooth processing of employee activity.

  • Supports management in the proper administration of all company policies, protocols, and procedures for all ESS personnel. Will work closely with managers who need added support.
  • Processes onboarding activities including requests for equipment, LLC on boarding, safety orientation, introductions and review of policies and procedures.
  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, active shooter, cyber security, and aptitude exams and job certifications as required in reference to role and work performed.
  • Implements site level new hire orientation and supports the activity.
  • Will act as LLC POC for mailing employee Loyalty Program recognition gifts and framed letters.
  • Performs routine tasks required to answer employee questions at the BU level that includes but is not limited to performance and talent management; productivity, recognition, occupational health and safety; and training and development.
  • Works with Finance and the Project Control Manager to review the records and ensure accurate tracking of hours worked and reported per project. Ensures accurate and timely pay accuracy.
  • Works with the Presidents to ensure the Position Descriptions match the ESS and LLC organizational charts.
  • Could be the first contact for candidate issues while referring complex and/or sensitive matters back to the appropriate parties.
  • Supports ESS in maintaining compliance with federal, state, and local employment laws and regulations, and works with management to ensure best practice by following corporate policies and practices and helping ensure managers are up to date on compliance requirements.
  • Works with the Presidents to establish and manage a strategy regarding talent acquisition, talent development, succession planning, and retention strategies.
  • Could be listed as a backup supervisor to assist with processing information as requested by Payroll.
  • Will assist in helping employees manage their ADP access to update beneficiaries, change an address, or other actions.
  • Maintains knowledge of industry trends for construction affirmative action and ensures BU compliance.
  • Works with Temporary Staffing Agencies to find suitable talent for open positions. Will follow the guidelines set by HR and ASG regarding contract review and staffing employee management.
  • Oversees onboarding and offboarding of staffing agency employees and independent contractor/consultants.
  • Performs other duties as assigned.

  • Cooperate with safety personnel, supervisors, managers, and investigators to ensure proper procedures are carried out according with the company and customer's safety policies.
  • Identify and report safety violations to safety personnel, supervisors, managers.

Reporting

  • Perform accurate timecard updates daily and sign timecards weekly as required to support reporting and payroll activities.
  • Perform job related reporting requirements per contract and corporate policies and practices.

  • Works closely with other company personnel in a collaborative environment to meet organizational and project deadlines, outcomes, metrics, and mission objectives.
  • Participate as a vital crew/team member and contribute towards the success of the project and the organization.
  • Promote a team approach and maintain communications/dialogue to exchange information and gather ideas for continuous improvement and best practices.


Education

  • BA/BS in Business or related degree

Experience

  • Minimum of five (5) years' experience at a manager level
  • Multi-state/international experience in staffing and staff management preferred
  • Construction experience preferred

License, Cert or Registration

  • NA
