Description

Responsible for accurately administrating the HR systems processes related to new hire entry, job transfers and changes, preparing email notification for transfers and job changes, tracking, and entering licenses, certifications, administering the affiliate process, process all terminations, TB testing. Responsible for providing administrative support for the Director of Benefits and HRIS. Will completes a variety of HR administrative duties, including but not limited to: working with employees on benefit questions, COBRA notices, and a variety of other HR administrative duties.

POSITION SPECIFIC DUTIES & RESPONSIBILITIES:

New Employee Implementation and Orientation:

  • Enter and Audit new hires in HRIS system
  • Process and Audit job changes and transfers in HRIS system
  • Meet and greet new hires on Mondays and Fridays

HR Duties for Benefits :

  • Process monthly benefit invoices; excluding UMR and The Standard
  • Enter 403b auto enroll for new hire into UKG
  • Notify new employees when access to the BOK system is available
  • Process termination into the 403b plan web portal
  • Process benefit changes in UKG including Life Events and status changes on benefit eligibility
  • Assist employees with benefit questions, enrollments and changes
  • Update benefit deduction start dates for all benefits on applicable months
  • Input Cobra Notices into BRI bi-weekly for new hires and terms
  • Prepare report and input New Hires into BRI once a month
  • Assist with coordination of monthly TB testing and enter renewal dates in UKG
  • Maintain filing in UKG Document Management including benefit elections, changes, affidavits, beneficiary information, etc.
  • Build Red files containing PHI
  • Enter all Workers Comp Injuries in UKG
  • Assist with FMLA file preparation
  • Process all FMLA/LOA documentation in Document Management
  • Provide Open Enrollment and year end support
  • Enter and remove tobacco surcharges into UKG

Administrative General HR duties:

  • Prepare Change of Employment email notifications for employee job changes
  • Process Primary Source Verifications for job changes and monthly renewals
  • Track, process, and enter professional licenses in UKG
  • Track and enter all drivers license renewals in UKG
  • Add Orange Forms to Document Management
  • Assist with departmental mail and put in employee mailboxes
  • Send Affiliate Agreements to employees for completion and signature

QUALIFICATIONS

Education:

  • Bachelor's degree in Human Resources, Business or related field.

EXPERIENCE:

  • Two years administrative assistance experience, preferably in Human Resources, is required.
