Position Summary:

Part-time position (between 10 and 15 hours per week) responsible for providing all administrative support to the President and CEO, executive leadership team as needed and to the Board of Directors.

Essential duties and responsibilities (3-5 core functions representing 80% of time spent):

Executive Assistant to President and Senior Staff

  • Serves as the primary point of contact for the President's schedule. Schedules appointments, ensures calendar is up to date and promptly notifies the President and all relevant parties of changes. Ensures meetings are kept on time and develops and maintains a system that alerts all relevant parties on upcoming deadlines. Manages the scheduling of board meetings and committee meetings as directed by the President.
  • Manages all forms of correspondence as directed by President and senior staff at Classen. Drafts responses, edits and ensures proper electronic management of documents.
  • Attends all company meetings, in a virtual capacity, as directed by the President, confirming dates, times and locations. Ensure proper minutes are recorded and filed.
  • Coordinate all travel arrangements for President, executive staff and board members as needed.
  • Manage effective communications and interpersonal skills with members of the Board, Trustees, executives and senior staff, officials from other organizations and employees.
  • Assists President in compiling and preparing expense report, credit card receipts and codes invoices.
  • All other duties, tasks and/or other responsibilities as assigned by the President.

Assistant Secretary to the Board

  • Prepares and distributes board packets for board meetings, prepares and takes board meeting minutes.
  • Maintains all corporate records such as the companies Articles of Incorporation, bylaws and employee contact lists. Additional files may include financial records, audit record and other sensitive and confidential company records. Ensures all company files are in accordance and in compliance with organizational policies and laws that regulate NewView's industry.
  • Must wear all protective equipment required by department.
  • Must follow all company policies and procedures including departmental safety policies.
  • Performs all other duties as assigned.

Qualifications

(Minimum education, experience, training, licensure, certification):

Requires HS diploma or equivalent and a minimum of 5 years' experience in an office administration, administrative or executive assistant position.
